Privacy Notice

Last updated October 15, 2026 (version 2026-10-15)

1. Who is responsible for your information

Your barangay decides why and how your information is used. Under the Data Privacy Act it is the personal information controller.

eBarangayMo runs the online system for your barangay. We are its personal information processor: we store and process your information only on your barangay's instructions and under a written agreement with it.

2. What we collect

  • Account details: your name, email address, mobile number, birth date, street and purok, and which barangay you belong to.
  • Identity check: a photo of a valid ID that you upload, and the result of the barangay's check.
  • Your requests and reports: document requests, concerns or complaints, appointments, messages with the barangay, attachments you upload, and payment references (for example a GCash reference number). We do not collect card or bank account numbers.
  • Barangay staff: name, position, role, and a record of the actions they take in the system (the audit trail).
  • Technical information: sign-in times, and error reports when something breaks. Error reports do not store your IP address.

3. Why we use it

  • To create your account and confirm that you live in the barangay.
  • To process your requests, concerns and appointments, and to issue documents.
  • To send you updates by email and in the app about what you asked for.
  • To keep the system secure: preventing misuse, and recording who did what.
  • To meet legal duties of the barangay, such as keeping records required by law.

The barangay processes your information to carry out its public functions and because you asked for a service. We ask for your consent when you create an account.

4. Who can see it

Only authorized staff of your own barangay, each according to their role. Staff of other barangays cannot see your information; this is enforced by the database itself, not only by the screens.

We do not sell your information or share it for advertising. We share it with others only when the law requires it.

We use these service providers, under their own security and privacy terms:

  • Supabase: database, sign-in and file storage (servers in Singapore).
  • Cloudflare: hosting of this website, email forwarding, and the bot check on forms.
  • Resend: sending emails such as sign-in links and status updates.
  • Sentry: error reports so we can fix problems (no IP addresses stored).
  • If your barangay turns on Ask AI for its staff: the question a staff member types is sent to the AI provider the barangay chose (Anthropic or OpenAI). Your records are not sent.

5. How long we keep it

  • While your barangay uses the system, records are kept for as long as the barangay needs them and the law requires.
  • If your barangay stops using the system, it has 90 days after its subscription ends (and after the grace period) to export its records. After that, residents' personal information and uploaded files are deleted.
  • If you ask to delete your account, we remove your personal information. The barangay may keep a record that a document was issued, without your personal details, where the law requires it.
  • Error reports are deleted automatically after 90 days.

6. How we protect it

  • All connections are encrypted (HTTPS).
  • Each barangay's data is separated in the database; every table has access rules.
  • Uploaded files are private and opened only through short-lived links.
  • Staff need two-factor sign-in, and are signed out after a period of no activity.
  • Important actions are written to an audit trail that cannot be edited.

If a breach affects your information, we will tell your barangay without delay so you and the National Privacy Commission can be notified as the law requires.

7. Your rights

Under the Data Privacy Act you have the right to:

  • be informed about how your information is used (this notice);
  • access your information and get a copy;
  • have wrong or outdated information corrected;
  • object, or withdraw your consent (this may stop some services, such as online requests);
  • have your information deleted or blocked when it is no longer needed or was used unlawfully;
  • file a complaint with the National Privacy Commission (privacy.gov.ph).

You can update most of your details yourself in Profile & Settings. For anything else, contact your barangay or us.

8. Contact us

Questions or requests about your information: email support@ebarangaymo.com (attention: Data Protection Officer), or visit your barangay hall. Please do not send ID numbers or ID photos by email.

9. Changes to this notice

If we change this notice we will update the date above and, for important changes, ask you to read and accept it again the next time you sign in.
